Frequently asked Questions
What areas do you service?
As a Pittsburgh, PA, USA based company, our daily service area includes a twenty-mile radius of downtown Pittsburgh. This includes Allegheny County and parts of Westmoreland, Beaver and Washington Counties. We also service the tri-state area for larger events. Please call 412-793-7144 to check availability for other surrounding areas. For special, larger events, we are able to travel nationwide.
How far in advance should I book?
Event set up dates and times are booked on a first-come, first-served basis. To avoid disappointment of not having your event date or items available, we suggest you contact us once you have secured your venue or at least 2 weeks prior to event date for smaller events and up to a year prior for larger events.
How do I request a quote?
To get the process started, please fill out our REQUEST-A-QUOTE form above. Our sales team aims to respond within 2 business days.
Do we need to meet in person or at the venue, or can you address my needs via an email?
Generally speaking, an on-site consultation isn’t needed – pictures of the space are usually enough for us to go on. We have photos of most venues in our service area from our 20+ years of experience. Most event bookings can best be served via email, phone call or video chat.
You may also take pictures, video and measurements and send us the details for a consultation.
For custom installations, an on-site consultation may be required and is available on select weekdays for an additional fee, which may be waived depending on the total value of your order.
How do I pay for my decor?
Once your order is finalized, an invoice will be emailed along with our payment authorization form. We accept Visa, Master Card, American Express and Discover. Once the completed form is received in our office, your reservation is confirmed. The balance is payable no later than one week before your event.
For schools, non-profits, and corporations, we understand a check may need to be processed for payment. Checks can be mailed to our office; they must be received 48 hours prior to delivery. A signed copy of your invoice will serve as your reservation confirmation.
Can I pick up my order?
Airheads Balloon Art works from a private workshop and we deliver to you. Pick-ups are not available.
Do you take same-day orders?
Generally speaking, orders placed online prior to 9am can be serviced the same day. Please note that some days may already be completely booked. To place your same-day (or future) order online please visit BalloonPlanet.com/AirheadsBalloonArt.
Do you have a delivery, setup, and/or strike charge?
Our delivery fee is the greater of 10% of your total before tax or $35. An additional fee may be charged depending on the complexity of the installation and where special rigging, framework, or equipment is required, or for a specific time window for delivery.
A strike charge is when we return and remove the décor and retrieve our equipment. This is not required for all decor items but may be added to any order.
When ordering directly through our website (BalloonPlanet.com/AirheadsBalloonArt), the delivery fee will be calculated at checkout.
What is your cancellation policy?
Your full payment must be received by due date listed on invoice to confirm your order/booking.
The first seventy-five dollars ($75) or twenty-five percent (25%) (whichever is greater) of your payment is a non-refundable retainer which reserves time on our calendar and guarantees our company will be available to decorate (&/or entertain) for your event (service date noted on invoice).
The remainder of your payment is refundable on a percentage scale based upon the date of written notification of cancellation.
The percentage scale is as follows:
8 weeks or more before your event…….100% (refund of remainder)
6-8 weeks before your event….75%(refund of remainder)
4-6 weeks before your event….50%(refund of remainder)
1-3 weeks before your event…25%(refund of remainder)
Less than 48 Hours before your event…0%.
If balloons were special ordered or imprinted for the event client is responsible for those costs.

While we are not able to grant every donation request (we wish we could!), we do offer a 10% discount to all qualified non-profits, as a “Thank You” for doing all you do to make the world a better place! These requests must be made no later than 60 days prior to your event.

Submitting this donation request does not guarantee Airheads Balloon Art’s participation in your event. Please allow at least 3-5 business days for us to review your request and respond with further information.
Are the balloons biodegradable? Can they be recycled?
Our latex balloons are made of natural rubber latex tapped directly from rubber trees. This harvesting technique does not hurt the tree. In fact, latex-producing trees can produce latex for up to 40 years. Other than a pigment for color, little else is added to them and they will biodegrade in about 2 years – about the same rate as a dead oak leaf.
Mylar (foil) and Bubble balloons are not biodegradable but can be recycled.
Do you offer custom printed balloons?
Yes, we do. Minimum orders and production lead times apply. Please contact us to see if this is available in your timeframe and for a quote. 412-793-7144 or ContactUs@AirheadsBalloonArt.com
How long will balloons last?
The following standard float times apply to balloon-friendly indoor environments:
FLOAT TIMES FOR MYLAR BALLOONS
In optimum environments, mylar (foil) balloons will remain full and taught for 2 days. Air-conditioned air may cause these balloons to shrivel, but they will return to a normal state when exposed to warmer air.
FLOAT TIMES FOR LATEX BALLOONS with HI-FLOAT™ TREATMENT
Hi-Float is a non-toxic sealant used inside of the balloon. It is effective only when used indoors, out of direct sunlight, and when not exposed to breezes created by fans, open windows, or air-conditioning. In ideal conditions Hi-Float will extend float times as follows:
11-inch latex: 2 Days
16-inch latex: 2 Days
Float time may be reduced significantly in unusually warm, unusually cool, or very humid environments, and at elevations above 2,500 feet.
Why aren’t my balloons shiny anymore?
When latex balloons are first inflated, they will have a glossy surface. Some designs will be both glossy and translucent. This can be a temporary state. By the time they are delivered, or shortly thereafter, this glossy finish may have turned to a matte finish, and the translucent quality may become opaque. These changes are the result of oxidation, which occurs with certain meteorological conditions. This is normal, and there is no practical treatment that can prevent this transformation.
What causes balloons to pop?
On hot days, in direct sunlight, balloons may pop within an hour. The same result can occur indoors if balloons are exposed to direct sunlight through windows.
Very cool environments may cause helium molecules to shrink, reducing the size and float time of balloons.
A constant breeze passing around a balloon will increase the speed at which helium molecules escape through the wall of the balloon, resulting in reduced float time. Keep balloons away from any type of breeze for maximum float time.
Static and invisible fibers on ceilings can cause balloons to pop. Be cautious before releasing them to the ceiling.
Can I inhale the helium in my balloon? (and other safety tips)
Airheads Balloon Art believes that by educating our customers about smart balloon practices, it will prevent misuse and continue making people happy with balloons.
- Do not breathe helium from a balloon. Helium is non-toxic and non-flammable but breathing it can result in asphyxiation (loss of consciousness due to insufficient oxygen).
- Do not release mylar (foil) balloons outdoors. Power failures can result if these balloons become entangled in electric lines. Keep your balloons secured to a weight: A helium-filled balloon should be tied securely to a weight that will keep it from releasing into the air.
- Popped latex balloons present a choking hazard for small children. Do not leave small children unaccompanied with latex balloons.
